Legal basis, responsibility and contact details

The basis for the processing of personal data is Art. 6 para. 1 lit. e GDPR in conjunction with § 3 para. 1 DSG NRW.

Heinrich Heine University Düsseldorf (HHU), a public corporation with legal capacity supported by the state of North Rhine-Westphalia, is responsible for the processing. It is represented by the Rector Prof Dr Anja Steinbeck.

The platform is operated by the ‘Research Data Management, Web Applications and Application Support’ (FWA) department of the Centre for Information and Media Technology (ZIM) at HHU.

Responsibility for content created in the system lies with the respective creators.

Types of data collected and purposes

The following data is collected when you use the eLabFTW.

Each time the page is accessed: IP address; page or file accessed; previously visited website; browser used and version; HTTP status code; HTTP method; time and date of access; amount of data transferred.

The following data is also collected each time you log in: Unique identifier; surname; first name; e-mail address.

The data is used for the following purposes

  • Authentication
  • Identification in the system
  • Rights management in the system
  • Contact by the ZIM
  • Verification of access authorisation
  • Generation of anonymised usage statistics
  • Ensuring the integrity and stability of the platform

The processing activities that are carried out with the data described above for the purposes described above are documented in HHU's register of processing activities.

Rights of affected persons

You have the following rights in relation to your personal data:

  • The right to information as to whether and which of your data is being processed (Art. 15 GDPR). The restrictions according to § 12 DSG NRW apply.
  • the right to information as to whether automated decision-making, including profiling, exists (Art. 22 GDPR)
  • the right to request the rectification or completion of data concerning you if the processed data is incorrect or incomplete (Art. 16 GDPR)
  • the right to erasure of the data concerning you in accordance with Art. 17 GDPR, provided that the conditions for this are met. The restrictions according to § 10 DSG NRW apply.
  • the right to request the restriction of data processing in accordance with Art. 18 GDPR, provided that the conditions for this are met
  • if you have consented to the data processing or if there is a contract for data processing and the data processing is carried out using automated procedures, you may have a right to data portability in accordance with Art. 20 GDPR.
  • If your data is processed on the basis of a legal basis, you have the right to object to the processing of your data at any time for reasons arising from your particular situation in accordance with Art. 21 para. 1 GDPR if the processing is carried out exclusively on the basis of Art. 6 para. 1 lit. e GDPR.

If you give your consent to the processing of personal data, you also have the right to withdraw your consent at any time. This does not affect the lawfulness of the processing carried out on the basis of the consent until revocation (Art. 7 para. 3 GDPR).

In addition to the aforementioned rights, you have the right to lodge a complaint with the data protection supervisory authority (Art. 77 GDPR), for example with the supervisory authority responsible for the university

Deletion

The data collected when registering on the platform is automatically anonymised 10 years after the last registration.

Technical data collected each time the site is accessed is deleted after a reasonable storage period.

Cookies

This website uses cookies, but only those that are necessary for the functionality of the website.

Validity

This privacy policy is currently valid and is dated 10 February 2025. We reserve the right to amend this privacy policy in order to adapt it to changes in relevant laws or regulations or to better meet your needs. This privacy policy applies in the version last published by Heinrich Heine University Düsseldorf. We recommend that you read the current data protection declaration again from time to time.
