Terms of service

By logging in via Shibboleth and storing information and files on elabftw.hhu.de, you recognise the terms of use listed here - so please read them carefully.

Access

  1. The eLabFTW is available to all HHU employees for official purposes. It is primarily intended to be used for research documentation. HHU students may also have access to the platform if this is appropriate for the purpose. Use for non-official purposes is not permitted.
  2. Use of the service is voluntary.
  3. No fee is charged for the use of the service.
  4. In the event of violations of these terms of use, individual persons may be temporarily or permanently denied access to eLabFTW.

Teams and Teamadmins

  1. On request, users receive a so-called team. Teams are used to group content and for collaborative work. An application is only possible for HHU employees. The application is usually granted.
  2. The application must include:
    1. Name of the team to be created
    2. Name, e-mail address and unique identifier of a person responsible for the team
    3. Confirmation that you have read the terms of service
  3. Team admins are responsible for managing the users and the content within the team. They are also the contact person for ZIM and FDMK. Only employees may be admins.
  4. The eLabFTW may not be used to make copyrighted materials available to third parties. The use of such materials is only permitted if the read and write authorisations are set so that only authorised users have access.
  5. The storage and processing of personal data within the eLabFTW should be kept to a minimum. The team admins are responsible for any storage and processing of personal data in the content created by users. The team admins must ensure that the storage and processing of personal data complies with legal requirements.
  6. The separate data protection declaration for this service must also be observed. Team admins should ensure that the users in their team are familiar with the privacy policy.
  7. Team admins must ensure that team members are sensitised to the topics of data protection and good scientific practice.
  8. A team should have two admins from 15 members and three admins from 30 members. 
    If an admin leaves the university and this person is the only person with admin rights in a team, then this person is obliged to assign admin rights to a person in the team.
  9. Due to limitations in the software, membership in exactly one team is the rule. Multiple team memberships are only possible on request.

Content

  1. It is not possible for users to delete content from the eLabFTW.
  2. There is a function on the website called ‘Delete’. Using this function merely hides content and makes it inaccessible to users, but the content remains in the system.
  3. If all retention periods have expired and there is no longer a legal obligation to retain documentation, content can be deleted by ZIM or RDMC upon request.

Further regulations

  1. Use is at your own risk. HHU accepts no material or non-material liability claims arising from the use or non-use of the content of this platform. No liability is accepted for content that is accessed via links and is not within HHU's sphere of influence.
  2. You are not permitted to disseminate xenophobic, racist, politically extreme, religiously extreme or sexually offensive content on eLabFTW. An appropriate, polite and respectful tone is expected in personal dealings with one another. The eLabFTW mail system may not be used for advertising or misused in any other way.
  3. We reserve the right to amend this user agreement at any time. You will be informed appropriately of any changes.
